My client is a leading business who are currently looking to recruit and Receptionist / Administrator for an immediate start.
Purpose:
To ensure the smooth running of the reception area, to deal with all customers both internal and external in a professional manner exceeding expectations at all times.
Responsibilities:
Deal with incoming/outgoing calls through the switchboard. Take messages and pass them on.
Welcome all visitors and deal with them accordingly, keeping the visitors management register up to date.
Deal with incoming mail, open and distribute accordingly. Frank all outgoing mail by 4pm including registered and special delivery.
Make sure that the reception area is always kept clean, tidy and welcoming.
To write reports as requested, including late start operations, daily production statistics, late/early releases, WIP work to list, overtime, absence, staff turnover and H&S incident rates.
Assist the HR Director and Manager with any HR related administration activities including, recruitment and selection, absence and training and development.
Ad hoc PA work for directors.
General administration including, booking flights, hotels, transport, meeting rooms, catering and refreshments, ordering business cards and furniture, keeping up to date organisation charts, first aid lists, fire marshall lists.
Organise monthly employee briefings and annual Christmas party.
Work in a safe manner in order to satisfy Health and Safety legislation and to avoid accident or injury to people, machinery or property.
Be aware of and comply with relevant aspects of the Company’s Quality policy and procedures.
Carry out such other duties as may reasonably be required within the jobholder’s capability consistent with Terms and Conditions of employment.

Excellent customer service/communication skills at all levels.
Organisational ability.
Ability to meet changing priorities.
Analytical ability.
Computer literate.
